A simple, secure process to get your patients started with Acumi.

For Clinic Administrators

Step 1: Send an Invitation

From the Acumi Portal, inviting a new patient takes just 30 seconds:

  1. 1. Navigate to Patients in the sidebar
  2. 2. Click + Invite Patient
  3. 3. Enter the patient's details:
    • Email address: where the invitation will be sent
    • Full name: how the patient will be addressed
    • Clinic (if you manage multiple clinics)
    • Licence: select from your available licences
  4. 4. Click Send Invitation

That's it. The patient receives a welcome email immediately with instructions to get started.

What Happens Behind the Scenes

When you send an invitation:

  • A licence slot is reserved for the patient
  • A welcome email is sent with your clinic's details
  • The invitation is tracked in your Patients list
  • An audit record is created for compliance

Managing Invitations

From the Patients page, you can:

For Patients

What Patients Receive

Your patients receive a professional welcome email that includes:

  • A personal greeting using their name
  • Your clinic name
  • Clear explanation of what Acumi does
  • Step-by-step instructions
  • Links to download the app (App Store & Web)

The Patient Signup Experience

Patients just follow the links in their invitation email.

Step 1: Check Email

The patient finds their invitation email from Acumi (with your clinic's name).

Step 2: Download the App

They tap the App Store or Google Play link in the email to download and install the app.

Step 3: Open App & Enter Email

After installing, they return to the email and tap "Open App", then enter their email address (the one the invitation was sent to) and tap Continue.

Step 4: Verify Email

A 6-digit verification code is sent to their email. They enter this code in the app to confirm their email address.

  • • Valid for 1 hour
  • • Can tap "Resend Code" if needed

Step 5: Create Password

They create a secure password (at least 12 characters, with an uppercase letter, a lowercase letter and a number).

Step 6: Complete Profile Setup

A run of short screens, one question each, shapes the app around them:

One question per screen. A patient you invited gets one fewer than a self-signup patient: their ADHD and treatment stage came from you, so Acumi does not ask them again. Partway through they choose how much fine-tuning they want to do, and "Go with the flow" takes sensible defaults straight to the end.

Welcome

Two tick boxes: the Terms of Use and Privacy Policy, and separately whether their recorded data may be used anonymised to improve the app. The second is optional and does not gate the first.

How Acumi Works

A short walkthrough of what the app is for, so the questions that follow make sense.

About You

Name, and an optional date of birth. Then what they would like the app to call them.

What They Want Out Of It

Up to five outcomes, from taking medication consistently to sleeping better or getting through hard moments. It shapes what the app puts in front of them.

Medication

Search by brand or generic name across the full NHS medicines list, then set the dose and time - or mark it as taken when needed rather than on a schedule. A controlled medicine asks for confirmation it was prescribed. Multiple medicines and multiple daily times are supported.

Wearables, And Locking The App

Apple Health or Health Connect brings in heart rate and HRV, sleep, steps and activity, weight and blood pressure. The app lock (Face ID, Touch ID or fingerprint) is offered only where the device already has one enrolled. Both are optional and both live in Settings afterwards.

What They Record, And How It Reads

Behind the "set it up my way" answer: appearance and text size, which things to keep an eye on (anything a connected device supplies is tagged as such), the app's voice, whether ratings show as words, waves or weather, and whether streaks appear at all.

Recap

A summary of what was set up, each line tappable to change before finishing. Everything saves and the patient lands on the Today screen.

Security & Privacy

Invitation-Based Access

Only patients you invite can create accounts. There's no public signup, so you control who accesses your clinic's platform.

Email Verification

Every patient must verify their email address before creating an account. This prevents unauthorised access.

Secure Passwords

We enforce strong password requirements to protect patient health data. Passwords are never stored in plain text.

Audit Trail

Every action is logged for compliance and support, including when invitations were created, emails sent, and accounts completed.

Common Questions

What if a patient doesn't receive the email?

  1. 1. Ask them to check their spam/junk folder
  2. 2. Verify the email address is correct in the Acumi Portal
  3. 3. Click Resend Invitation to send a new email
  4. 4. If problems persist, try an alternative email address

Can I invite a patient who already has an account?

No. The system will notify you if the email is already registered. The patient should sign in with their existing account instead.

What happens if a patient loses their verification code?

The code expires after 1 hour for security. In the app, patients can tap Resend Code to receive a new one. There's a 60-second cooldown between requests.

Can I see what stage a patient is at in the signup process?

Yes. The Patients page shows the current status for each invitation: Invited, Verified, or Active.

Do patients need to enter a licence key?

No. When you send an invitation, the licence is automatically assigned. Patients skip the licence entry screen entirely, which makes their experience smoother.

Can I cancel an invitation?

Yes. Click on the invitation in the Patients list and select Delete. This removes the invitation and releases the licence slot. The patient will no longer be able to complete signup.

Best Practices

For Smooth Patient Onboarding

  • Verify email addresses. Double-check spelling before sending invitations
  • Explain the process. Let patients know they'll receive an email
  • Set expectations. Tell patients it takes about 5 minutes to set up
  • Offer support. Provide a contact if patients have trouble

For Efficient Clinic Management

  • Batch invitations. Invite multiple patients in one session
  • Monitor statuses. Check the Patients page regularly for stuck invitations
  • Use resend sparingly. Wait a few hours before resending to avoid spam filters
  • Keep licences organised. Assign patients to appropriate licences for tracking
